Fit4DW B.V. registered in the commercial register of the Chamber of Commerce under number 96588853 (hereinafter referred to as “Fit4DW“) attaches great importance to the protection of your personal data. Through this privacy and cookie statement, we would like to inform you how we handle your personal data. 

Processing of personal data by Fit4DW

The Fit4DW Platform is an online platform that provides insight into information about materials that come into contact with drinking water in their application. The Fit4DW Platform is made available to you by Fit4DW.

The various processing operations by Fit4DW in the context of the Fit4DW Platform are set out and explained below.

  1. Use of the Fit4DW Platform

The services of the Fit4DW Platform consist of information published on the Fit4DW Platform at the request of clients of Fit4DW and users who can download and use this information. For the correct operation of the Fit4DW Platform, Fit4DW depends on information and data entered into the Fit4DW Platform by clients, or which Fit4DW receives from/about you directly or indirectly through third parties. This may include the following (personal) data:

  • Company and personal data of users of the Fit4DW Platform, such as name, IP address and email address and password; and
  • Information about materials published on the Fit4DW Platform as well as information from, for example, the relevant inspection authority and the person who signed the information on behalf of the inspection authority.

When you visit and/or use our website, we automatically collect data sent to us by your computer, mobile device or other device you access. This data may be collected by using cookies. We use this (technical) data to analyse your behaviour on our website in order to improve our website.

  • Contact with Fit4DW

As a user of the Fit4DW Platform or visitor to our website, you can contact us if you have any questions, tips or complaints. You can do so via the contact details listed at the bottom of this privacy and cookie statement. If you do so, we will use your personal data and any other information related to your question or complaint for this purpose.

What personal data do we process?

We only process personal data that you provide to us yourself, or that we obtain indirectly from you. This may include the following data:

  • Name;
  • Company name/names;
  • Address;
  • E-mail address;
  • Telephone number;
  • Chamber of Commerce registration number (CoC number);
  • Chamber of Commerce branch number;
  • Technical data you provide to us because you visit our website, such as your IP address, the device you use to visit our website and the pages you view;
  • Any other personal data we obtain from you.

On what grounds do we process personal data?

We may process your personal data if there is a legal basis for doing so. The aforementioned processing takes place on (one of) the following legal grounds, as mentioned in the applicable privacy legislation:

  1. for the performance of the agreement we have with you, e.g. that for the use of the Fit4DW Platform;
  2. in order to comply with legal obligations;
  3. because of a legitimate interest we have in the processing; and/or
  4. with your consent;

Legitimate interest

The legitimate interest in processing your personal data may be that we (i) need your personal data in order to communicate with you about a question or complaint submitted, (ii) thereby detect possible fraud with the Fit4DW Platform or (iii) thereby improve our services.

What cookies do we use?

A cookie is a small text file stored on your device by visiting the Website. Cookies can be accessed through your web browser or the device you use to visit our Website.

Our website primarily uses functional cookies. These cookies are strictly necessary for the operation of our website and do not infringe your privacy.

Furthermore, we only use the statistics program Google Analytics to generate general statistics and gain insight into how our website is used by visitors. We ensure that the traceability of visitors to our website is limited as much as possible. The use of these cookies does not require your consent as a website visitor. You can delete cookies via your browser settings.

With whom do we share personal data?

Where appropriate, we may need to share your personal data with other third parties. These include suppliers involved in the technical management of the Fit4DW Platform or those we engage for processing as described in this privacy and cookie statement. Sharing your personal data with other parties is also sometimes required on the basis of the law or a court ruling, for example because government bodies require your personal data from us in the context of an investigation.

Third parties to whom we provide your personal data are themselves also responsible for processing that data and complying with applicable privacy laws. If a third party processes your personal data as our processor, we will enter into a processor agreement with that third party that meets the requirements of the AVG.

To track and improve the content and use of our website, we collect the browsing behaviour of visitors to our website. We do this with Google Analytics, but in a privacy-friendly way: we have concluded a processing agreement with Google, your IP address is anonymised and we do not share the data with Google. For more information about Google Analytics, please refer to the Google Analytics privacy policy, as published on Google’s website.

How long do we keep personal data and how is it secured?

We do not retain your personal data for longer than is strictly necessary for the purpose for which we have collected and recorded it. Personal data linked to an account is in principle kept until the account is deleted. You can also submit a request to delete your personal data, this option is described in the next section. If there is a statutory retention period, this period will be adhered to by us.

We have taken appropriate and organisational security measures to counter abuse, loss, unauthorised access, unwanted disclosure and unauthorised modification of your personal data. These security measures are regularly reviewed so that personal data remains adequately secured.

What rights do you have?

You have the right to inspect the personal data we process about you. You have the right to have your personal data amended or even deleted if the data are not (no longer) correct, or if the processing is not (no longer) justified. You can also restrict processing under certain circumstances, request us to transfer your data or object to processing. We will assess whether we can meet your request under the law.

However, we would like to point out that exercising your right to delete your data will result in your data no longer being processed in the Fit4DW Platform and/or you no longer having access to the Fit4DW Platform.

You can communicate your request or any complaint to us by e-mail. You do so by sending an e-mail to <…>. We will respond within 30 days. We may not be able to comply with your request within the aforementioned period. For example, because the processing of certain personal data is required to comply with our legal and statutory obligations, or because of other exceptions, such as the rights and freedom of third parties or the importance of legal proceedings. Should we not (be able to) comply with a particular request, we will of course inform you of this with reasons.

You also have the right to submit any questions to the regulator (the Authority for Personal Data).

Questions and changes

For questions, you can always contact us. You can do so by sending an e-mail to info@fit4dw.com. 

We are entitled to amend this privacy and cookie statement. Changes will be published on our website, on which we always make the most up-to-date privacy and cookie statement available. We may process your personal data for new purposes not yet listed in this privacy and cookie statement. In that case, we will contact you before using your data for these new purposes, to inform you of the changes to our privacy and cookie statement and to give you the opportunity to refuse processing for those other purposes.
